Project Minutes
May 15, 2008
Meeting called to order at 7:02pm
Introductions; Floy Ziegler the newly elected pres of the association was present at the beginning of the meeting. She is on a mission to improve the communication and extension office availability to leaders and their needs.
Sue Lerner stopped by and introduced a project by the Mutley Crew dog 4-H club, as their community service project, of collecting gently used blankets and towels for shelter animals. The box is located at the extension office.
President, Cindy; She discussed the topic of drugging of horses. That no drugs are allowed, this includes bute and quitex, the exception was made for a vets prescription of bute in an older horse.
Also a reminder that horses, as of April 1st , must be under direct control of the rider this means that no trainers should be riding 4-H horses after April 1st .
Please remember that only a high blue will qualify a rider for the medals program, and judges do not need to award any. But it is the responsibility of the show management to make sure that the judge understands the new system.
Vice president, Tricia; A question was brought up about the 2 show requirement, if someone is doing performance and gaming do they need to do 2 of each? It was decided that it just says 2 shows, the type is not specified. So a rider can go in 1 performance show and 1 gaming show and that would qualify them for fair in either discipline or even 2 of the same. For jumping the rule is only 1 show at the same height as you plan on jumping at fair.
Secretary, Sheilla; April meeting minutes approved. Motion made by Kelly Ferguson 2nd by Randy Hall.
Treasurer, Paula; Reported that there is money in the account but didn’t have an exact amount at this time.
Correspondence, Cindy; A youth development event for PNW western games. Being held at Trails End in Olympia on October 4th and 5th
There was a report on feeds by Purina that are on recall. Contact Cindy for more information about the correspondence.
Association report, Cindy; The Evergreen State Fair is 100 years old this year. And they are trying to break the world record for the largest “hokey pokey” on Sunday August 31st .
The King County Advisory Committee’s 1st meeting is on May 19th at the extension office at 6:30 They are looking at trying for a grant to benefit 10 county offices including our own.
A document was submitted by the extension office of a list of where to get several 4-H documents. It is in the form of a trial draft.
Ideas about fair in a brainstorming session lists how members, clubs and volunteers interested can help and make the fair more fun and exciting. Advertising budget for the fair is gone. When the extension office was asked about posters one of the employees of the extension office has been given a small budget for advertising 4-H and she will make posters that not only advertise 4-H but with the suggestion to come see us at the fair. They have also had to cancel the opening breakfast, it was suggested that 4-H take on the breakfast. The dance is open on Friday from 8:30-10 if someone wants to take it on. Also, the movie on Thursday night for only $4/ticket as opposed to $5. The association is paying for the Enumclaw pool on Saturday night entry is free for all 4-H’ers. Leaders can get tickets at the association meeting. The 4-h interest booth is open for volunteers. The next Association meeting is on the 1st Wednesday of June.
Tamra Braun asked about the possibility of having a club handle a kitchen for food during the majority of time when our members are at the fair because there is no food booths open. However there is a fee for that from the city of Enumclaw and you must have a food handlers license to run a kitchen a the NW Expo Center.
New business;
~Clinic, Kim Giglio; Christine O Hammond is willing to do a showmanship or trail clinic for $20/person plus a haul in fee for a 2 hour session on a weeknight. Interest was pooled and June 4th was decided. From 6-8pm at Kim Giglio’s house, Songbird Stables in Covington. Fee would be $20 with a $10 haul in fee.
~An inventory of all King County gaming equipment was asked for. Right now it is mixed with the Enumclaw Trailblazers equipment. The same is asked of the performance equipment. It is asked of all borrowers that they now sign out the trailer and when they bring it back if any equipment is missing or damaged the last club that used it is responsible for replacement or repair of damaged or missing equipment.
~Equipment Trailer; A photo was passed around of the donated trailer. The trailer has been seen by Kari Garman and Lori Glasgow, there are a couple of things that need to be fixed; it needs a new tongue jack, there is 1 or 2 floorboards that need to be replaced and some minor rust treated. The budget was discussed for the trailer.
~Replacement project request; A letter was submitted from a member to change from her current horse back to her past project horse. The rule was that changes are ok before the paperwork is submitted for fair.
Committee chairs;
Performance Medals, Lori; Requested to please send in high blue and show paperwork in a timely manner. The show packet has been temporarily removed from the website till it has been updated. Some new medals were purchased as we were running low. It was also clarified that for all bronze medal classes there must be rail work done along with the patterns for any medals to be awarded.
County fair, Kari; She had information on the rental stalls that the King County fair is getting for the horse barn. The stall dimensions are 9’6”x 9’5”x 7’ with canvas sides and the door is in the middle of the wall not at the side. The Fair employees only have Wednesday and Thursday to assemble the stalls, all help will be appreciated as Dressage riders arrive Friday night. A lot of distress was expressed about the wasted cost. It was also suggested that we abstain from decorating with the exception of the educational posters, “Hi my name is” posters and name plates. That was met with a lot of agreement. Motion was made by Kari Garman, 2nd by Carina that absolutely no public aisle decorations will be put up with the exception of the tack room to identify the different clubs. Dressing rooms may be put up for modesty and tack rooms assembled. Educational Posters, “Hi my name is” posters and name plates be displayed on the stalls like in past years. This was voted on by present clubs and passed.
All fair paperwork was due and turned in at this meeting. Some night barn duty is still needed from the 2nd night of intermediates till the end of fair. Night Barn Duty fees are $4/night and are due to the Leaders Committee by the next Leaders meeting. The deadline for the fair fees to be sent to the Extension Office is June 2nd, these include camperville for $10/night and animal entry fees for $7.50 for each animal.
Education, Cindy; Education Day Events will be during fair, horse bowl and hippology will not be held at this time, but it was looked at as a possibility for an evening activity. Notice will be given if this is planned. Education Day Event form can be sent to Cindy with the premium sheet that is separate for these events. The form will be online soon.
Judging, Jenny; She has made a list of all kids that have attended a judging so far and the list was passed out. The final opportunity for a judging is the Wranglers and Riders judging at Argus Ranch on June 1st
Horse bowl, Jenny; Kalie Murphy reported that in the first round the score was 3/20, and the 2nd 5/7 both losses. Both rounds they were up against a Champion team. A good job was done by all. Tamara asked about the possibility of offering something for the Juniors since hippology and horse bowl have been cancelled from the Educational Day events being held. No plans were made.
Groom squad, Joan; Reports that she is still looking for her replacement for next year. Contact Joan Ferguson.
Perf horse show commission, Lori; The Memorial Day show is ready, volunteers please contact Kenya Glenn for helping. 253-350-5925 is Kari Garmans cell do not use the number that is currently listed on the form.
Performance equipment coordinator, Luty; no report
Permanent numbers, Sheilla; Please contact Sheilla with any changes or questions, please don’t just assign numbers. It is important that the right numbers be assigned to the right age kids. Also if a member moves out of novice and wants to show their age group at fair they must show 2 times in that age group before any change in their fair classes can be made. Also remind your members that if they change horses during a show they must change their number to match.
Dressage, Tricia; Everyone trying to qualify for the state team will ride the same test. Send thoughts to Tricia for any other ideas on state qualification.
Over fences, Tricia; Please remember that all members showing in jumping at fair need to show at least one time in a jumping class before fair. Please keep it in 4-h only, for that to qualify
Recognition, Kair; no report
State fair, Luty; no report
State qualification, Tricia; They have added an in hand section at State fair. Senior performance will have 2 sections in 2008, but they are looking at only 1 session in 2009 that would limit the team from 30 to 10 riders. Forum is October 17, 18 ,19 it will be discussed at that time. They have added a flat class to the over fences and dressage section. You have until fair starts to decide upon your choices for state, but that will not exclude you should you qualify in your 2nd choice and not in your 1st.
Western Games Kari Garman; The gaming manual is still online but the contest guide is still the 1st place to go for rules questions the manual is the 2nd. Judges should be polished at the shows, be clear about off course, down equipment and hand signals. They shouldn’t cheer, and should stay off their cell phones, also don’t talk to spectators while judging. Job descriptions were discussed, show etiquette; leaders please talk to your kids about not begging for ribbons at the office, also do not beg for highpoint they are trying to get the info out as soon as possible. Use your judgment on when to approach the show manager with questions and problems. Importance of communication with Bill Becker and chairs. It was also suggested that there be vests for judges so they can be easily recognized. Volunteers have been great, thanks to all for all your hard work. Several clubs were represented. Gamers have asked that walkie talkies be added to the gaming equipment.
Open floor;
Joan Ferguson; Wanted to use Sasha Gumprect for her trail judge at the Vashon Show on June 14th and asked for a clearance. Objectivity was brought up since she had only been out of 4-h for 1 year. Motion was made by Tricia 1st Lori 2nd this was approved. Kelly Ferguson spoke about the upcoming show.
Kim Odstricl; offered again a trail clinic at GRSC for about $15 dates were out on the email. Volunteers were asked for, Golden Horseshoes will handle the logistics.
Carina Davis announced a tack sale see flyer on website June 22 10-3
Tricia announced that order forms for fair t shirts are out orders due next meeting flyers will be on the website.
